Awa by Devlab: purchase order software for French Polynesia
Awa is web-based purchase order management software for companies in French Polynesia. A manager creates the purchase order with the supplier quote attached, the CFO (DAF) approves it, the CEO (DG) signs it and accounting exports month-end accruals to Microsoft Dynamics 365 as an Excel file. Awa is published by Devlab, a digital agency founded in 2014 in Tahiti.
What Awa does
One shared workflow for every purchase:
- Purchase orders with the supplier quote attached, net and gross amounts calculated, automatic numbering and an official PDF once signed.
- Approval by the CFO, then signature by the CEO, one by one or in batches.
- Role-based dashboards for managers, CFO, CEO, accountants and administrators.
- Email and in-app notifications at every step, and a full audit trail.
- Suppliers, accounting codes and departments managed by the administrator.
The approval workflow
A purchase order moves through seven statuses: draft, awaiting CFO, awaiting CEO, approved, rejected, sent and booked. Nobody can approve or sign an order they created. A rejection requires a comment, and the creator can fix and resubmit the order. When the CEO is away, vacation mode lets the CFO sign on their behalf, and the history records the delegation.
Accounting and Microsoft Dynamics 365
Amounts are kept in Pacific francs (XPF). A quote in euros, US dollars or any currency published by the European Central Bank is converted automatically: the euro at the fixed EUR/XPF parity, other currencies at the daily rate. At month end, accounting exports an accruals file built on the Microsoft Dynamics 365 import template, with the reversals of the following month.
