Awa and Microsoft Dynamics 365: the accruals export
Awa prepares the month-end close in Microsoft Dynamics 365: it exports, as one Excel file, the accruals of approved purchase orders not yet booked, built on the Dynamics 365 import template, with the reversals of the following month. Amounts are in Pacific francs (XPF), posted per accounting code and department. Awa is published by Devlab in Tahiti.
What the file contains
One Excel workbook with two sheets:
- Accruals: one balanced block per month, dated the last day of the month.
- Reversals: the same entries with negative amounts, dated the first day of the following month.
- For each order line, a debit on its expense account and department against a credit on the accruals account.
- The 36 columns of the import template, including Posting Date, Account No., Document No., External Document No. (the order number), Description, Debit, Credit and DEPT.
Which orders are included
Orders approved during the selected period and still approved or sent, so not yet booked. Each line needs an accounting code and a Dynamics department; if one is missing, the export stops and names the order and line to fix instead of producing an incomplete total.
Amounts, safeguards and limits
The file uses the net amount in XPF recorded on the order and never looks up the daily rate. Text is limited to 20 characters for the import, and cells starting with a formula character are neutralised. Awa does not write into Dynamics 365 directly: the accountant imports the file.
Frequently asked questions
Can the file be imported as is?
It is designed to be imported as is into Microsoft Dynamics 365 at month end: import template columns, balanced blocks per month and text limited to 20 characters.
Does Awa work with other accounting software?
The accruals export follows the Microsoft Dynamics 365 template. The purchase order list also exports to a standard Excel file. For other accounting software, write to contact@devlab.io.
