Awa for hotel purchasing
Awa is web-based purchase order software suited to hotels in French Polynesia. Each department, from the kitchen to maintenance, raises its purchase orders with the supplier quote attached; the CFO approves them, the CEO signs them and accounting exports month-end accruals to Microsoft Dynamics 365. Awa is published by Devlab in Tahiti.
Each department orders within its own scope
Department heads (kitchen, food and beverage, maintenance, housekeeping, administration) have the Manager role: they create their department's purchase orders and only see their own.
Every line carries an accounting code and a department, so the CFO follows the month's spending per department without consolidating spreadsheets.
Suppliers and quotes kept in order
Only active suppliers are offered and the supplier's default accounting account fills in automatically. The supplier list can be imported from a file.
The quote is attached to the order. A quote in euros, US dollars or any currency published by the European Central Bank is converted to Pacific francs (XPF): the euro at the fixed parity, other currencies at the daily rate.
A month-end close without re-keying
Accounting sees approved orders not yet booked, chases missing invoices, attaches the invoice and books the order. At month end it exports the accruals file built on the Microsoft Dynamics 365 import template, with the reversals of the following month.
Absences do not stop purchasing
When the CEO is on leave, vacation mode lets the CFO sign instead. The CFO picks their own deputy. The order history records the delegated signature.
Frequently asked questions
Does Awa replace the hotel management system?
No. Awa handles the purchase order workflow, from the request to booking. It does not replace the accounting software or the hotel management system, and it does not pay suppliers.
Who sets up departments and accounting codes?
The Awa administrator creates users and roles, departments and accounting codes, and imports the supplier list from a file.
